How to Create an Event (Calendar) QR Code

An event QR code encodes an iCalendar VEVENT, the same standard calendars use for .ics invites. Scanning it prompts the user to add the event - with its title, start and end time, location and description - directly to Apple Calendar, Google Calendar or Outlook.

Step by step

  • Enter the event title (required).
  • Add the start and end in YYYY-MM-DDTHH:MM format - they are converted to UTC automatically.
  • Optionally add a location and description, then download the code for your flyer, ticket or invite.

Great for

[C]

Posters and slides that let attendees save the session in one scan.

[P]

[D]

Deadlines & Sales

Remind customers of a launch, class or limited-time offer they shouldn't miss.

Why UTC matters & tips

  • Times are encoded in UTC (the trailing Z), so an event set for 9:00 shows at the right local time for every scanner, wherever they are.
  • Each code includes the required UID and DTSTAMP fields so calendars accept it cleanly.
  • Double-check the start is before the end, and include the year to avoid ambiguity.

Event QR Code FAQ

What is an event QR code?

It encodes an iCalendar VEVENT. Scanning lets the user add the event - title, time, location and notes - to their calendar app.

Will the time be right in other time zones?

Yes. Start and end times are converted to UTC before encoding, so each calendar shows the correct local moment.

What date/time format do I use?

YYYY-MM-DDTHH:MM, e.g. 2026-03-01T09:00. It is read in your local zone and converted to UTC automatically.

Which calendar apps are supported?

Any app that reads the iCalendar standard - Apple Calendar, Google Calendar and Outlook all work.
